Best At The Beach Awards Gala 2026

When the New Jersey Hospital Association set out to celebrate healthcare professionals at its annual Best at the Beach awards ceremony, the vision was an elegant beachfront event beneath a large tent overlooking the ocean. However, as weather conditions became increasingly uncertain, the event was relocated indoors to the host hotel with little time to spare.

Panavid was brought in to deliver the event's complete technical production, adapting the original production design to a new venue while maintaining the premium guest experience the association envisioned. Through careful planning and flexible execution, the team transformed the hotel's ballroom into a polished awards environment that supported live presentations, branded content, award recognitions, and a seamless guest experience from beginning to end.

THE CHALLENGE

The ceremony was created to recognize excellence across New Jersey's healthcare community in an atmosphere that felt celebratory, sophisticated, and engaging.

While the event was originally designed around an outdoor beachfront tent, changing weather conditions required the entire event to be relocated indoors shortly before load-in. The production team needed to quickly adapt staging, lighting, video, and audio systems to fit a completely different environment without sacrificing the quality or visual impact of the event.

The production needed to:

  • Quickly adapt to a last-minute venue change

  • Deliver a polished awards presentation despite the revised floor plan

  • Provide clear audio and excellent sightlines for every guest

  • Support live presenters, award recipients, and multimedia content without interruption

  • Maintain a premium visual experience throughout the evening

 

THE SOLUTION

A complete audio, video, LED, lighting, and staging package was provided to transform the ballroom into a professional awards venue that felt purpose-built for the occasion.


Audio

Clear, consistent audio was essential for an event centered around speeches, award presentations, and video playback.

A Yamaha QL1 digital mixing console paired with a Yamaha Rio1608-D2 stage rack provided flexible system control and efficient signal distribution throughout the venue.

A Shure ULXD digital wireless microphone system ensured dependable RF performance for presenters and award recipients, allowing speakers to move confidently throughout the stage without compromising audio quality.

The room was covered using d&b audiotechnik Y10P loudspeakers supported by d&b E8 speakers and powered by d&b D20 amplifiers, delivering natural, intelligible sound evenly across the audience.

Behind the scenes, a Clear-Com DX410 wireless intercom system kept production staff connected throughout the event, allowing departments to coordinate cues and video transitions with precision.


Video

The visual presentation combined large-format displays, projection, and live camera coverage to ensure every guest remained connected to the program.

A ROE Visual Black Pearl BP2 LED wall served as the centerpiece of the stage, displaying award graphics, sponsor branding, presentation content, and event visuals with exceptional brightness and clarity. Brompton Tessera SX40 processors and XD Data Distribution units maintained precise color accuracy and reliable performance throughout the evening.

The video workflow was managed through a Panasonic AV-HS410 live production switcher, enabling seamless transitions between presentation content, live cameras, and playback sources.

Sony PXW-X400 shoulder-mounted broadcast cameras on a Sachtler Video 25 Plus tripods captured presenters, award recipients, and audience reactions, adding a polished broadcast feel to the event. Program recording was handled by an AJA Ki Pro GO, providing high-quality archives for post-event use.

Additional signage and refreshment menus for guests were provided through Sony PVM-A250 production monitors along with 55-inch and 75-inch Sony BRAVIA Professional Displays positioned throughout the venue.

A Panasonic PT-MZ10K 10,000-lumen laser projector equipped with a Panasonic ET-EMU100 lens projected a custom made beach scene onto the ceiling, a last minute add to bring a touch of the beach into the venue.


Lighting

The lighting design created an elegant atmosphere while ensuring presenters appeared natural both in person and on camera.

An MA LightinggrandMA3 compact XT lighting console provided complete programming and show control. Wireless DMX distribution through LumenRadio Stardust and City Theatrical Multiverse systems allowed fixtures to be deployed efficiently throughout the ballroom with minimal cabling.

Martin MAC Quantum Profile moving fixtures delivered sponsored logos and branding onto the walls of the ballroom. PROLIGHTS Eclipse FS LED ellipsoidals provided clean front light for presenters.

Astera AX9 PowerPAR fixtures extended color throughout the room, enhancing the ballroom while maintaining a refined aesthetic appropriate for a formal awards ceremony.

The result was a lighting design that balanced sophistication with flexibility, creating a welcoming environment while supporting professional video capture. Talents was clearly lit up on stage and the off stage environment reminded guests of the cool ocean breeze outside.


Staging

Although the venue changed, the stage remained the visual focal point of the evening.

An 18-foot wide by 8-foot deep stage provided ample space for presenters, award recipients, and the LED display while maintaining comfortable sightlines throughout the ballroom.

A Digital Display Lectern provided a modern presentation platform while allowing event branding to remain visible throughout the program.

Rose Brand Encore White Drape completed the scenic design, creating a refined backdrop that framed the stage and concealed backstage production elements for a polished finish.


 
 

THE RESULT

Despite a last-minute venue relocation, the Best At The Beach awards ceremony delivered a seamless and memorable experience for attendees.

Every presentation, award announcement, and video segment transitioned smoothly, while crisp audio, vibrant LED visuals, and elegant lighting transformed the ballroom into a space worthy of celebrating New Jersey's healthcare leaders.

Most importantly, the event never felt like a backup plan. Through careful planning, adaptable production design, and reliable technology, Panavid successfully translated the original beachfront vision into an indoor experience that preserved the atmosphere, professionalism, and significance of the celebration.
