Awards Gala for Major Food & Beverage Company
When a globally recognized corporation set out to host an exclusive awards gala, they needed more than just a venue—a fully integrated production environment capable of delivering a premium guest experience while supporting a fast-paced live program with precision and reliability.
Panavid was sought out to design and execute the event’s complete technical production, transforming the venue into a polished, immersive environment that supported live presentations, award segments, branded content, and audience engagement throughout the evening.
THE CHALLENGE
The awards gala was designed to recognize top contributors in a setting that reflected the significance of the occasion. Every element had to feel premium, intentional, and visually impactful. The venue had limited built-in infrastructure, requiring temporary systems for power, staging, audio, lighting, and video to be deployed from the ground up. The entire production also had to be installed, tested, and show-ready within a single workday.
The production needed to:
Deliver a dynamic visual experience
Seamlessly support live presentations and award moments.
Ensure crystal-clear audio and visibility for every guest in the room
Maintain a polished, broadcast-quality look and feel throughout the evening
THE SOLUTION
A full-scale production environment, including audio, video, lighting, and infastruture, was deployed to transform the space into a vibrant, show-ready experience.
Audio
A strong, but flexible audio system was built to ensure clarity and even coverage throughout the space for a program that included live presenters, playback content, and award presentations.
A Yamaha QL5 Mixing Console provided the power needed to manage multiple inputs, playback sources, and live microphones. To support presenter mobility, a 12-Channel Shure Axient Digital Wireless System delivered rock-solid RF performance throughout the venue.
L-Acoustics KIVA II line arrays paired with KS21 subwoofers created a balanced, full-range sound profile that filled the room evenly. L-Acoustics X8s were placed on stage for front fill and foldback, ensuring consistent intelligibility across all seating areas and monitoring for presenters.
Behind the scenes, Clear-Com FreeSpeak II Wireless Comms enabled seamless coordination between departments, ensuring smooth cueing, efficient troubleshooting, and uninterrupted transitions throughout the show.
Video
The star of the setup was a 18-foot-wide ROE Black Pearl BP2 LED wall, delivering vibrant, high-resolution visuals for branded content, award graphics, and presentations. Brompton Tessera SX40 processors ensured precise color calibration and image fidelity, maintaining a clean, consistent look across all content.
A Barco E2 Gen2 switcher served as the backbone of the video system, enabling complex screen management, layered content, multi-source routing and seamless transitions, while a FOR-A XT100 complemented the workflow, providing reliable playback and control for critical media.
Panasonic AW-UE100 PTZ cameras captured live shots of presenters and audience reactions, adding broadcast-style layer to the program. Camera operation was managed through an AW-RP150 controller, enabling smooth transitions between live and playback content. Blackmagic HyperDeck Extreme 8K recorders captured high-quality program feeds for archival and post-event use.
Together, these systems allowed content, IMAG, and branding to blend seamlessly—enhancing both storytelling and audience engagement.
Lighting
A grandMA3 Compact XT console provided precise control over a dynamic lighting package. Ayrton Diablo S profile fixtures handled the stage wash and allowed us to color correct for cameras. Chroma-Q ColorForce 72” fixtures added saturated color washes that extended visual depth across the stage and venue.
Astera AX9 pars extended the lighting design into the room, enhancing depth and creating a aesthetic environment that connected the stage to the audience.
The result was a cinematic yet restrained lighting design appropriate for a formal corporate awards setting while remaining fully optimized for live camera capture.
Power
All of these elements require a sufficient and reliable source of power.
A Motion Labs dual voltage 200A power distribution system supported all technical departments, with Socapex and feeder cabling providing organized power delivery while minimizing visual clutter throughout the venue.
Staging
The stage itself—a 28’ wide by 12’ deep and dressed with a low pile, dark grey carpet and black hard fascia (Black Sinatra). This was designed to feel substantial without overwhelming the room.
Black Velour pipe and drape added a refined backdrop, framing the LED wall and reinforcing the event’s visual identity while hiding backstage production to maintain a polished appearance from all audience perspectives.
The Steps were recessed into the upstage section of decks instead of being pushed out to the edge, resulting in polished finish, without breaking the line of the stage.
DSM Surrounds kept cabling and monitors organized and out of view. A Lectalac Lucite Podium finished the stage off as a sleek presentation piece.
GEAR HIGHLIGHTS
THE RESULT
The awards gala delivered a seamless, high-impact experience from start to finish.
Presenters moved confidently, content played without interruption, and every transition landed with precision. The combination of clean audio, dynamic lighting, and large-scale visuals created an environment that felt both intimate and elevated.
Most importantly, the event achieved its core goal: celebrating excellence in a setting that matched the significance of the people it was honoring. By combining technical precision with thoughtful design, Panavid transformed the gala into more than a ceremony—it became a fully realized live production experience.
